Types

- Export of expiring licences  - Performance Export SEA   - Low ratio of active portals  - Statistics Export

Requirements

1. The desired data exports must first be stored in the database. Contact the support for this.
2. Create a Notification.

Important

When creating the export, the notification must first be created as "internal" so that it can be sent.  This is done when creating the notification by clicking on the slider "Internal notification".

This is how it looks when the internal marking is activated. Then save your entries with the "Save" button.

Example:

The yellow flag indicates that the message is marked "internal".

Important: If you forget to set the message to "internal", a subsequent change is not possible.

Create data export  

1. Click on Add in the Reporting window

2. This window will then open. Here you can select the appropriate template.

3. Template group -> click down arrow -> select data export -> further selection options open up

4. Template (circled in yellow) -> click down arrow -> select type of export.

Depending on the type, there are different selection options and emails that are generated as a result.

Creation of the individual types

Export of expiring licences  

Selection options of the individual fields: Aggregation level: workspace, type: status, period: monthly, delivery: begin are already predefined so that an export is always sent workspace-wide, monthly and at the beginning of the month. Below this, the period to be considered is defined: All expiring licences in the next 1 / 2 / 3 / 4 / 5 / 6 months can be selected. Under Recipient group, the recipient lists that are assigned to this message can be selected or a user-defined recipient group can be specified (company contact or location contact as To / CC / BCC or alternatively defined e-mail address as To / CC / BCC recipient).

When exporting expiring licences, you will receive an e-mail with an attached list of all licences that are about to expire.

Low ratio of active portals

Selection options of the individual fields:

Aggregation level: workspace, type: status are already predefined so that an export is always sent workspace wide. Period: A weekly, monthly, quarterly, annual dispatch can be set here. Delivery: begin or middle defines whether the export is sent at the beginning or in the middle of the period.

If you select quarterly or yearly delivery, the export will be sent at the beginning or middle of the next quarter or year. Example: If you have selected quarterly dispatch and middle, the export will be sent in the middle of the next quarter (Q2).

Below this, the percentage is set how much less than the defined percentage the listing licence should have of active portals: less than 10 / 30 / 50 / 70 / 90 % of active portals can be selected from. recursive: true = sub-work areas are included recursive: false = sub-work areas are not included Under Recipient group, the recipient lists assigned to this message can be selected or a user-defined recipient group can be specified (company contact or location contact as To / CC / BCC or alternatively defined e-mail address as To / CC / BCC recipient).

An e-mail is generated containing an attached list of all listing licences that are below the set percentage.  So that one can see at first glance for which active portals the percentage share

Statistics export
